Code of Conduct and Whistleblower scheme

For ICPM 2024, credibility is a core value, and ICPM 2024 wishes to promote a culture of trust and respect among the participants. This implies that people are able to express themselves freely, without fear of negative reactions or reprisals if they experience irregularities or unlawful activities in connection with their activities in the context of ICPM 2024.

Purpose

A community and an environment that recognizes and respects the inherent worth of every person is crucial to succeeding in the goals of ICPM 2024.

We therefore expect everyone engaged in ICPM 2024 activities to contribute to a safe and inclusive environment and to respect the guidelines stipulated below.

Scope

This Code of Conduct applies to:

  • all events that are part of the ICPM 2024 activities;
  • all participants, including organizers, volunteers, presenters/speakers, reviewers etc.

Organizers are responsible for informing of and promoting this Code of Conduct during the event. Although organizers cannot be held responsible for offensive behavior that may occur outside of the official event program, it is possible to notify them of such issues.

Offensive behavior

ICPM 2024 must provide an experience for all participants that is free from harassment, bullying, discrimination, and inappropriate behavior which includes, but is not limited to:

  • Intimidation, personal attacks, stalking, following, harassment, inappropriate physical contact or attention, or derogatory mention;
  • Offensive comments, materials, or activities related to age, race, color, nationality, religion, gender/gender identity, sexual orientation, medical condition, disability, or pregnancy;
  • Disorderly, boisterous, or disruptive conduct including fighting, coercion, theft, damage to property, or any mistreatment or unprofessional behavior towards participants.

Procedure

Organizers, as well as any participant in ICPM 2024 activities, may contact us about experiences or observations of inappropriate behavior, regardless of whether they wish to place a formal complaint or merely express a concern or seek advice.

The incidents will be notified to the Named Persons (NPs) who are the ICPM 2024 General Chair (Andrea Burattin) and the IEEE TFPM Steering Committee Chair (Boudewijn van Dongen).

  • The Named Persons will support the person reporting an offensive behavior in deciding if and how to proceed;
  • The Named Persons have no formal authority but will support the person reporting an offensive behavior in informing the relevant authority if agreed upon;
  • The Named Persons are not obliged to inform any other authority and are thus able to handle any complaint or concern in full confidentiality;
  • While it is possible to file a complaint in an anonymous way, this may result in difficulties for the Named Persons to follow up on the incident.

Action

In case of a breach of this Code of Conduct, the organizers of ICPM 2024 will respond toward the offender as deemed appropriate according to law and regulations.

Sanctions may be but are not limited to a warning, the expulsion from ICPM 2024 with no refund, reporting the incident to the offender’s organization/company, or, in the last instance, reporting the incident to law enforcement authorities.

Data treatment

The data sent via the form linked above will be stored in a DTU system. The data will be accessible by the NPs (Andrea Burattin and Boudewijn van Dongen) and will be deleted at the end of the conference.
